Welcome to Veecamp and the website (sometimes referred to as the “Site” or “Website”). Through this Site, Veecamp offers education programs and camps, activities, events, applications, software, materials and related products and services (collectively the “Services”). Access and use of the Site and purchase and use of the Services is governed by and subject to these Terms and Conditions (referred to as the “Agreement” or “Terms”), as well as all applicable laws, whether or not you are a registered user of the Site or you create an account on the Site. Please review the Agreement carefully before using the Site or purchasing any Services. By accessing, using or downloading any materials from the Site or purchasing any Services from Veecamp, you agree to be bound by the terms and conditions in the Agreement.

You may not use the Site and may not accept the Terms if (a) you are not of legal age to form a binding contract with Veecamp, or (b) you are a person barred from receiving the Services under the laws of the country in which you are resident or from which you use the Site.

In accordance with the Children’s Online Privacy Protection Act, an individual must be 13 years of age or older to complete and submit any forms or provide any personal information on this Site.

Veecamp reserves the right to amend this Agreement at any time and without notice. If we do this, we will post the amended Agreement on this page and indicate at the top of the page the date the Agreement was last revised. Your continued use of the Site and any Service after any such changes constitutes your acceptance of the new Terms. If you do not agree to any of these terms or any future Terms, do not use or access (or continue to access) the Site or any Service. This Agreement applies to all visitors, users, and others who access the Site, or purchase, download or receive materials from Veecamp.

Use of Veecamp Site

1.   Access

In order to access certain Services, you may be required to provide information about yourself (such as identification or contact details) as part of the registration process for the Services, or as part of your continued use of the Services. Any registration information you give to Veecamp will always be accurate, correct and up to date. You agree to use the Services only for purposes that are permitted by (a) the Terms and (b) any applicable law, regulation or generally accepted practices or guidelines in the relevant jurisdictions. You agree not to access (or attempt to access) any of the Services by any means other than through the interface that is provided by Veecamp.

2.   Site Operation

No person, adult or child, shall engage in any activity that interferes with or disrupts the operation of the Site (or the servers and networks which are connected to the Site). You will not reproduce, duplicate, copy, sell, trade or resell the Services for any purpose. You are solely responsible for (and Veecamp has no responsibility to you or to any third party for) any breach of your obligations under the Terms and for the consequences (including any loss or damage which Veecamp may suffer) of any such breach.

3. Account Confidentiality

You are responsible for maintaining the confidentiality of passwords associated with any account you use to access the Services. Accordingly, you will be solely responsible to Veecamp for all activities that occur under your account. If you become aware of any unauthorized use of your password or of your account, you agree to notify Veecamp.

4. Privacy Policy

For information about Veecamp’s data protection practices, please read our Privacy Policy. This policy explains how we treat your personal information, and protects your privacy when you use the Website. You agree to the use of your data in accordance with Veecamp Privacy Policy.

Terms of Service for Education Programs, Camps, Activities & Events

1. Additional Definitions

For purposes of these Terms, the following additional definitions shall apply:

  • “Adult” shall mean an individual at least 18 years of age who is competent to enter into a legally binding contract.
  • “Minor Participant” shall mean any Participant in a Program (as those terms are defined in this section) who is not an Adult.
  • “Participant” shall mean the individual, whether or not an adult, who personally participates in a Program.
  • “Program(s)” shall mean Veecamp sponsored education programs, camps, activities and events.
  • “Responsible Adult” shall mean an Adult Participant or an Adult custodial parent or authorized legal guardian of a Participant under the age of 18.

2. Authorized Purchase of Services

All Services must be purchased by a Responsible Adult, and the individual submitting a registration and the required payment for participation in a Program certifies that they are either: an Adult Program Participant or the Responsible Adult for the Minor Participant identified in the Program registration.

Entering Veecamp Site certifies that the Responsible Adult agrees to the Terms governing Program Services, and will take the time to ensure that all information in the required personal information and registration pages of the Website will be up-to-date and accurate to the best of the Responsible Adult’s knowledge, prior to the Participant’s attendance at a Veecamp Program.

3. Consent to Participate, Guidelines, and Waivers

By submitting a registration and the required payment for participation in a Program, each Adult Participant or Responsible Adult grants permission for the Participant to participate in all Program activities led by Veecamp staff during the Program, and, certifies that the Participant is in good health and able to participate in all Program activities.

In certain circumstances, Veecamp will make exceptions to its age policies. If you feel like your child would learn better in an environment for older or younger children, we ask that you acknowledge and agree that your child will be outside of the age range, and if the course does not work out for your student, Veecamp reserves the right to move your child to another program with no refunds or credits.

If any information in the account is falsified, Veecamp has the right to move the student or remove them entirely from the program. No refunds or credits will be given.

At this stage, no “Check-In forms” are expected to be signed by the Adult Participant or Responsible Adult prior to Program Check-In. During the payment check-out process, the purchaser will be required to accept herein Terms and Conditions.

4. Medical Consent

Veecamp is not asking for any Medical Consent and does not have any professional physician to administer medical treatment to Participants. In case of emergency, Veecamp will make reasonable efforts to contact the Responsible Adult immediately, and obtain consent regarding any required care, however care will not be denied or delayed for inability to contact the Responsible Adult to obtain prior consent. Responsible Adults agree to assume financial responsibility for any charges incurred. Responsible Adults grant Veecamp permission to arrange necessary related emergency transportation for the Participant. Responsible Adults agree to release any medical or personal records necessary for insurance purposes.

Responsible Adults understand and agree that no Veecamp personnel are authorized to give any Participant over-the-counter medication without written permission. Veecamp Program personnel are not professional nurses or doctors, and have not been trained in medicine.

5. Additional Registration Information

Emergency Contact Persons: Veecamp requires that Responsible Adults identify a primary contact person during the online booking process pages for each Participant. If no contact is given, the purchaser will be considered as the emergency contact.

Medical Information: the booking process gives the possibility for the purchaser to mention any medical information (e.g allergies, special needs) for each Participant.

6. Special Needs

If a Participant’s condition, illness or disability requires limited participation in Program activities or special accommodations, the purchaser must specifically describe the required limitations or accommodations during the booking process, and Veecamp must agree, in writing, to specific limitations or accommodations. It is crucial that Responsible Adults provide Veecamp with all relevant information so that we can make Program staff fully aware of any special needs. Responsible Adults acknowledge that they are responsible for all extraordinary expenses incurred as a result of the Participant’s condition, illness or disability.

Veecamp is not a special-needs camp, however, we endeavor to accommodate special-needs Participants to the best of its abilities as long as the requests are made within a reasonable time and are within Veecamp’s standard policies. All special requests must be received no later than 6 weeks before the start of the registration.

If the onsite Program Director determines, based on observation of the special needs Participant during a Program, that the Program is not a suitable and/or productive environment for the Participant, Veecamp may dismiss the Participant and no refund will be issued. If a Responsible Adult removes a special-needs Participant from a Program during the course of the week, no refund will be issued.

7. On-Campus Activities

Lost, Stolen or Damaged Property: Participants are responsible for their personal property while attending a Program. Veecamp is not responsible for any personal belongings lost or damaged by casualty, theft, etc. Responsible Adults agree to pay the replacement costs for lost meal cards, dorm keys, or room damage in accordance with the policy/fees for each Program location. Responsible Adults agree to accept full responsibility, financially, or otherwise, for the conduct of the Participant, including but not limited to, damage to equipment, dorm room, or facilities. Veecamp is not required or expected to protect Participants from theft or damage to property.

Media and Game: Responsible Adults acknowledge that Veecamp staff may not accept Participants to use games and social media during the Program unless it is part of the syllabus. Such use may be considered as a breach of the Participant Code of Conduct.

8. Participant Code of Conduct

Veecamp reserves the right to dismiss any Participant from a Program without any prior warning for violating any of the terms of the Participant Code of Conduct, or if the Participant’s actions or attitudes are deemed detrimental to the general atmosphere of a Program, and there shall be no refunds issued for such dismissal.

Responsible Adults acknowledge and agree that a Participant must comply with herein Code of Conduct, and that a Participant may be dismissed from the Program if the Participant’s actions or attitudes are deemed by Veecamp to be harmful to the atmosphere or to other Participants at the Program. Responsible Adults, including those representing the student, will also be held to the same expectations regarding the use of harmful language and behaviors. The actions of those mentioned above can and will result in the immediate dismissal from the program and will not be entitled to a refund. 

Responsible Adults agree that a Participant may be dismissed, without a refund, from a Program for, among others, the following reasons: Drug/Alcohol/Tobacco possession/use; viewing pornography or any inappropriate material on the Internet; inappropriate language (swearing, using bad words, racial slurs); physical violence or threats of physical violence against themselves, other Participants or Veecamp staff; damage to facilities at the Program location or Veecamp equipment, stealing property of others; inappropriate use of equipment; sexual harassment of other Participants or Veecamp staff; internet hacking; damage to dorm rooms; or bullying. 

If use or possession of illegal substances or weapons is suspected, Participants will be subject to search and seizure. If use or possession of illegal substances or weapons is found, Participants will immediately be dismissed from the Program. Each Participant and Responsible Adult is responsible for any personal items brought to and loaned at a Program. Participant promises to respect all Veecamp Staff members and Participants while treating the facilities and equipment with care.

Personal Devices: Veecamp does not require Participants to bring any devices except a smartphone (and optionally a mic and tripod). Veecamp may recommend to bring a personal laptop and may recommend to install some applications prior to the Program. Accessing the internet via a local Wi-Fi hotspot that is part of the facility at Program location is the sole responsibility of the participant.  Veecamp does not facilitate internet access for non-Veecamp devices. Viewing inappropriate content (including sexual content, inappropriate violence, racism, bullying, etc.) online will result in immediate dismissal from a Program. Any attempts at computer “hacking” will result in immediate dismissal from a Program, without a refund. Local authorities will be contacted when warranted.

9. Classroom Experience

As a courtesy to the instructor and fellow Participants, we expect each Participant to arrive 15mn in advance in order to start the daily sessions sharp on-time. Responsible Adults acknowledge and agree that Veecamp is not responsible for watching their child if they are late in picking him/her after class. Participants waiting for their parents after class are expected to keep silent and outside the classroom.

It is not permitted to eat within the classrooms.

Responsible Adults acknowledge and agree that, should the syllabus require an activity to be temporarily conducted outside of the classroom, all Participants will accompany the instructor.

Student to Teacher ratio: Veecamp aims at managing its camp with an average student/teacher ratio of 12:1 but may bring one additional assistant teacher to the class at its discretion.

10. Assumption of Risk and Release

Responsible adults are aware of the inherent risks of injury, death, and property damage involved in participation in a Veecamp program including without limitation risks due to: (1) possible outdoors activities; (2) property damage due to loss or theft; (3) exposure to other program participants as old as 18 years of age. Responsible adults are aware of the risks of injury, death, and property damage that may result from, among other causes, the active or passive negligence of Veecamp and its officers, directors, employees, agents, and subcontractors (collectively, “released parties”), including without limitation the risk of negligent instruction or supervision. Responsible adults, either individually or on behalf of a minor participant, acknowledge that the participant is voluntarily engaged in participation in a program with knowledge by the responsible adult of the risks of injury, death, property damage, and other risks, and assumes any and all known and unknown risks of injury, death, and property damage that may result from participation in a program.

Responsible adults, individually, and on behalf of minor participants, release the released parties from all liability to participants, representatives, guardians, successors, assigns, heirs, children, and next of kin for all liability, claims, damage, or demands for personal injury, death, or property damage, arising from or related to this agreement or to participation in a program whether the injury, death, or property damage occurs on or off the program premises. This release includes, without limitation, any personal injury, death, or property damage caused by the active or passive negligence of any of the released parties. Responsible adults and participants bear sole responsibility for any loss.

Responsible adults acknowledge that they have carefully read this agreement, understand its contents, and understand that this agreement includes an assumption of the risk of the released parties’ negligence and a release of their liability. Responsible adults acknowledge that Veecamp is materially relying on this waiver and is allowing the participant to engage in a program.

11. Payments, Cancelations, and Refunds

Payment to Veecamp Programs will be done online at booking time, through Stripe or PayPal online payment system.

All refund requests and special considerations must be submitted online through the contact form. Reimbursement may take up to 72 business hours. 

If the Responsible Adult cancels but can provide a replacement Participant: 100% refund.

If the Responsible Adult cancels more than two months before the camp start date: 100% refund.

If the Responsible Adult cancels between two months and one month before the camp start date: 70% refund.

If the Responsible Adults cancels between one month and one week before camp start date: 35% refund.

If the Responsible Adult cancels less than a week before camp start date:0% refund.

If Veecamp cancels a Program, Participants may be enrolled in another Program. If one is not available at a time or location that is convenient for Participant, a full refund will be issued.

If Veecamp is forced to close a Program based on a recommendation by the local health authorities (in the case of pandemic flu, etc.) or due to other acts of nature, no refunds will be issued.

11. Additional Terms and Conditions for Use of Veecamp Site and Services

Proprietary Rights Veecamp (or Veecamp’s licensors) own all legal right, title and interest in and to the Services, including any intellectual property rights which subsist in the Services (whether those rights happen to be registered or not, and wherever in the world those rights may exist). Nothing in the Terms gives any person a right to use any of Veecamp’s trade names, trademarks, service marks, logos, domain names, and other distinctive brand features.
